A coffee tracker for an office, where there are multiple coffee machines and there is a constant need to keep track of who brought and drank what!

coffeeTracker

The reason

The reason I made this project was because my dad asked me whether I could develop a solution for tracking coffee usage at his workplace, because it was a real mess without a central system.

Features

  • User account registration without any permission
    • First user to register automatically becomes the admin
    • Everyone else has to be approved by the admin if the account wasn’t created from the admin dashboard
  • The whole system works based on pools, every coffee machine at an office is considered a pool, each of them have a separate transaction list. Every user has a different balance for all of them!
  • Clear UI with big buttons for the four main functions
    • Drink (“Ivás”): The user can either choose a predefined strength of coffee or can enter a custom amount in gramms, people can only drink from a pool if the user has enough money to pay for the coffee and the pool has enough coffee to drink from
    • Add coffee (“Kávé hozzáadása”): The user can register coffee that they bought with their own money!. They need to enter the amount and cost of it!
    • Add money (“Pénz hozzáadása”): The user can register a money only transaction, the system treats it differently to a coffee add transaction, since it doesn’t physically add coffee to the pool
    • Use Money (“Pénz felhasználása”): Since the system treats money only and coffee transactions this serves the function of using up the funds from money only transactions in the pool!
  • Any transaction can be edited: Users can only edit their transactions for a limited time, while admins can edit all transactions at any point in time right from the dashboard!
  • Profile pictures: Any user can set a profile picture, it has no usefulness, but it’s fun. Admins can administer profile pics to any user these pictures can also be removed!

Upcoming features:

  • Statistics: These aren’t implemented yet, because I’m not sure what will be needed in everyday usage, so I decided it’s better to let the environment decide.

Difficulties:

  • One of the biggest challenges of this project was the logic behind handling and updating transactions and pool balances
  • I also found working with modals a bit inconvenient and ugly at times, but got used to them by the end

Final devlog before first ship!

  • I translated the whole thing to Hungarian because the environment that it will be used in required it!
  • I implemented a money usage transaction
  • I also implemented editing of transactions for both users and admins, admins can edit transaction anytime, users can only edit transactions the hour after it was made!
  • QR support was also implemented, these can be printed out and when scanned they bring the user right to the correct pool for quick transactions

It seems like I’m still keeping my track record of not making enough devlogs.

Things that have changed since last time:

  • I added support for profile pictures
  • A top bar was added for access to the admin panel, user editor and the logout button!
  • I started making the home page functional, adding coffee, adding money and drinking coffee are now functional!

Challenging things:

  • As per usual my procrastination did not help the progress of the project
  • I spent the last half an hour figuring out why the checks for drinking coffee weren’t working, it turned out to be quite a dumb mistake

Things left to do:

  • Use money from pool function
  • Edit transaction for users and admins
  • Generate QR code for pool with a printable .pdf
  • Statistics:
    • Coffee drinking leader board
    • Coffee buying leader board
    • Monthly drinking summaries
    • Drinking frequency stats throughout the day
    • Display amount of money actually spent on coffee and amount of money that’s just money

Damn it, I’m devloging almost 10 hours of work again! I everything I did was on the admin page side of things, forgot to devlog tho…

  • Admin can create, edit and delete pools
  • Admin can create, edit and delete coffee variations (how strong a coffee can be)
  • Admin can register, accept, edit and delete users
Currently the most challenging part of this project is battling my ADHD brain and trying not to procrastinate on it. :(

Finished with the basic design of the user dashboard!
Also optimized it for mobile devices, since that’s going to be the primary target device!
